How We Work With Owners

  • Inspection & evaluation of property to determine maximum rent under current market conditions and repairs necessary to prepare unit for rental.
  • Strict screening (income, employment, former residences, background check, credit check, etc) of prospective tenants to ensure a quality tenancy.
  • Lease execution and security deposit collection after qualified tenant is secured.
  • Thorough collection of rents including meticulous follow through with late and final notices as necessary. **Tenant rent late fees go to the owner**
  • Handling of tenant complaints, violations, correspondence and meetings.
  • Maintain files on all tenants and properties.
  • Financial accounting & monitoring of individual tenant balances including current charges, late charges, security deposits, and pet fees.
  • Maintain complete financial records of each rental unit, including backup documentation for both revenues and expenditures.
  • Preparation and submittal of monthly computerized owner’s statements giving details on income and expenses.
  • Negotiate lease renewals and rent increases on a timely basis.
  • Coordination and follow through of eviction or delinquency proceedings as needed (i.e. warrants for unlawful detainment of property, judgments, writs of possession, forcible evictions, collections etc.)
  • Inspection of properties vacated and disposition of applicable security deposits.
  • Inspection of properties annually or bi-annually to assess general condition of unit & report suggestions for improvements to owner.
  • Transfer of utilities on behalf of the owner when unit is vacant. Provide new tenants with information to transfer utilities to their name once rented.
  • Placing of yard signs to facilitate the leasing effort (when allowed by HOA).
  • Marketing to local businesses about available rentals.
  • Advertise all available “for rent” properties on our comprehensive rental list, the local MLS, CraigsList, and on our website at www.essentialagents.com where we include multiple photos of the property.
  • Arrangements to make homes available to prospective tenants, every day of the year except for major holidays.
  • Accompany all prospective tenants on the showing of each home.
  • Entering into lease agreements as agent for the owner, utilizing a lease that complies with the Residential Rental Agreement laws of North Carolina.
  • Communication and correspondence with owners as it relates to their tenants, property and monthly financial statements.
  • Remit I.R.S form 1099 to owner at end of each year which reflects gross income collected during the year.
